Run the gallery from one place.
Exhibitions and art fairs, the collection with its locations, sales with invoices and VAT, a webshop, your client base and the public website. Built with a working Amsterdam gallery, tested against real sales.
- In short
- Exhibitions and art fairs with wall labels and price lists generated from the works you link
- Sales with numbered invoices, VAT for NL, EU and export, quotes and certificates
- A webshop where the server decides price and stock, never the browser
- A mobile app for the fair floor: availability, prices, reserve and sell
Programme
The exhibition is the starting point. Link works to it and the rest follows.
- Exhibitions and art fairs
Title, dates, banner, text, booth and location. Artists are derived from the works you link, never typed in twice.
- Link works from the event
Filter the collection by artist, status, year or category. A warning shows if a work is already in another running show.
- Printables
Wall labels and a printable price list, generated from the linked works. Always the current version.
- Opening and calendar button
Opening block with an add-to-calendar button that disappears by itself after the opening.
- Fair packing list
What goes to the fair, with insurance values and where each work currently sits.
Collection
The artwork is inventory, not content.
- Artworks with automatic codes
Artist plus year gives a unique code (ABC-24-001), numbered per artist per year.
- Locations and storage
Fixed locations (gallery, storage, fair, at the artist) and per work: where it is, since when, and the shelf.
- Reservations and holds
Reserve a work for a client with an expiry date. Holds about to expire are visible at a glance.
- Provenance
Ownership history per work, internal only.
- Certificates and consignment agreements
Certificate of authenticity per work, consignment agreement per artist, as PDF with your details on it.
- Publications and editions
Books, prints and editions with stock, separate from unique works. Artists can submit editions through a link you send them.
- Bulk assign and duplicate
Select works and assign them to a show or fair in one go. Duplicate a work to add similar ones fast.
Sales
One sale, one action. Everything else is derived from it.
- Register a sale
From the Studio or the app. Creates the order, marks the work sold, and gives it the next number in your invoice series.
- Invoices with VAT
Netherlands, EU (reverse charge with VAT number) and export (0%). Discounts included. The PDF matches the order.
- Quotes
Send a quote with a share link; the client sees exactly what the invoice will say. Numbered in the same series.
- Cancel and reverse
Cancelling a sale reverses it: the work is available again, the numbers stay consistent.
- VAT report and analytics
A VAT tab and sales analytics that count what the invoices say.
- Archive
Paid and delivered orders move to the archive, and back if needed.
Webshop
For editions, publications and works you want to sell online.
- Stripe checkout
Cards and local payment methods. The server sets the price and checks stock; a manipulated browser price is ignored.
- Variants and stock
Sizes, framing, editions. Stock per variant.
- Shipping zones and pick-up
Rates per region and collect-at-the-gallery as an option for every customer.
- Discount codes
The customer enters the code, the server decides the amount.
- Non-EU orders
Automatic 0% VAT with export mention.
Clients
A CRM that is fed by what you already do.
- Contacts with history
Webshop orders and shared price lists appear on the contact record automatically.
- Collector portfolio
What a client owns, in one view.
- Shareable price lists
A private price list for one client, optionally with a password. Prices never leak into the page source.
- Newsletter
Sign-ups go to your Mailchimp list, unsubscribes come back.
Website and app
The public site is one output of the system, not a separate project.
- Public website
Artists, exhibitions, fairs, press, about, webshop. Your logo, colours and corner rounding as settings; typeface and layout are part of the platform.
- View on wall
A work shown to scale on a wall, from the width you entered.
- Gallery app
On a phone or tablet at an opening or on the fair floor: PIN access, availability, prices, reserve a work, add a contact, register a sale.
- Photo toolbonus
Straighten a phone photo of a work on the wall and put the wall on white. A download; it writes nothing to your data.
What it is not
- It is not a marketplace. Your site is your site; there is no shared catalogue.
- Payments run through Stripe, set up per gallery. We do not hold money.
- Typeface and page layout are part of the platform. You choose colours, logo and corners, not a new design.
